Youth 2003 Expanded Registration Instructions

Youth '99 was a sold out event!! To ensure space for your group, we encourage you to register early. Youth 2003 will feature five action-packed days, filled with motivating speakers, exciting music, small seminars, recreation, and group activities.

Housing will be assigned on a first-come, best-served basis. You can secure your space and lock in your registration fee at $335 ($25 discount off the regular rate) by sending in your $50 per person deposit by January 31, 2003.

Step 1: Complete the registration form reserving the youth and adult spaces you need. You do not need to provide individual names at this time. However, $25 of your per-space deposit is non-refundable. Increasing your numbers at a later date may affect your housing assignment.

Complete the Group Registration Form. There is no limit to the size of your group, but there must be at least one adult, age 21 or older, for every eight youth, age 18 or younger. We recommend that each group follow its procedures for screening adult workers with youth that is prescribed by the local church. If there are both male and female youth, there must be at least one adult age 21 or older of each gender. At least one adult who comes with your group must be age 25 or over. All financial records will be maintained under the Group Leader's name. The Group Leader must be the primary chaperone attending the event with youth and/or other adults from his/her church. Only the Group Leader can add, remove, or substitute members within the group. A $50 deposit for each participant must be included. Tentative housing assignments will be made upon receipt of the deposit on a first-come, best-served basis. Group size may be increased on a space-available basis, and an increase in the size of your group may result in a change in your housing assignments. One check per group, please.

Step 2: Send your form and payment to Youth 2003, General Board of Discipleship, PO Box 340003, Nashville, TN .

Step 3: In 2-3 weeks, you will receive a receipt and confirmation of your registration. Additional information will be sent after November 1, 2002.

Step 4: After November 1, 2002, you will be sent an additional confirmation packet. This packet will contain one individual registration form for each member of your group. This form will provide necessary individual medical and liability releases, and it will have information for each youth and adult about selecting learning, service, and recreation options. Participants, parents (for those under age 18), and the Group Leader must sign all forms. The Group Leader must return all of the group's individual registration forms in one mailing. Space for learning options is limited, so you will want to return these forms as soon as possible.

Step 5: After all of your group's individual registration forms are received, a final confirmation will be forwarded to you in the spring of 2003. This confirmation will contain your housing assignment, maps and directions, information on what to do when you arrive in Knoxville, and an individual course schedule for each participant. During this time, you will also be contacted by your assigned representative from The University of Tennessee to work out all the final details of your registration process. When you arrive in Knoxville, you will check-in directly at your assigned housing location.

Step 6: Complete paying your balance due. Registrations are subject to cancellation if not paid in full by June 2, 2003. An extension of this deadline may be requested in writing before June 2, 2003.

Note: Your registration fee includes 4 nights housing, 11 meals, and all program fees. Housing is provided in air-conditioned residence halls or hotels adjacent to or near the event venues. Transportation is provided between housing and event locations.

There is a $25.00 cancellation fee for all cancellations received before March 3, 2003. The cancellation fee increases to $50.00 after March 3, 2003, and no refunds are available after July 1, 2003. Substitutions are welcome at any time. Changes to an existing registration are subject to a $15.00 change fee.
